conversation dominators. Stick to
the agenda, and assign a timekeeper,
especially for longer meetings that
might wander out of control.
Working though agenda items at a
steady pace provides a sense of progress, which avoids the sensation of
interminable meeting hell. If the conversation strays toward side issues outside the scope of the meeting, table the
topic to the "parking lot," and schedule
a follow-up meeting. Use this list for
agenda items that aren't being resolved
on schedule, too, and redirect the issue
to key stakeholders later. In other
words, hold the end-time sacred.
Avoid meeting longer than an hour
at a time; if you must run long, give
opportunities for strict five-minute
breaks every 30 minutes so attendees
can stretch their legs, relax their brains,
and check emails and voice mails.
Conclude the meeting with a recap,
and end on a unifying or positive note.
6. Take minutes. Distribute meeting notes as soon as possible - as
in, within three or four days, maximum - or sooner, depending on the
urgency of the meeting. In addition to
reviewing the content, these should
outline decisions and action items
so everyone is clear on outcomes, as
well as who will be held accountable
for what. At the same time, encourage
everyone to take their own notes - by
keeping their pens moving, you're
keeping their brains in gear, too.
7. Follow up. Continue communicating after the meeting to ensure
progress on action items until the work
is complete. At the same time, allow
participants to evaluate your meeting,
including what would make the next
one run more smoothly, according to
WJM Associates' Bernstein. Like any
effort in your shop, you want to ensure
you're getting the most return on the
investment in your time.
When a meeting takes place for the
right reasons - and it's run the most
effective way - it helps your shop
work harder and smarter. With the
proper strategy and savvy tactics, your
people will see how useful it can be.
They may even look forward to coming together, and you may not have to
buy lunch. q
