meet a predetermined target; the earlier you get that
information, the sooner you can create work-around,
reassign resources, or re-evaluate the scope of a project,
determine a better plan for the next occurrence, and
coach employees toward more efficient practices.
4. Difficulty. Whether it's work you're doing, or
work your team is assigned that you need to supervise,
consider how challenging a task is before you allocate
time limits. Just as a road trip is limited by the speed
limit along the route, a task comes with constraints that
affect its completion. By considering this, you keep
yourself ahead of the time curve.
While not every project will go sideways, experience
should guide you to determine which ones pose potential
for delay. Likewise, you should expect other shop duties
to rear up while you're completing strategic planning,
when key employees are on vacation or come up sick
during critical times, or when over-stressed employees
act out when you're all under the crunch.
Plan accordingly, and create backup plans. While it's
impossible to prepare for everything, you can brainstorm
solutions to likely problems and keep moving forward.
That may include offloading more of your work through
effective delegation, reassigning responsibilities or
asking for help. Knowing how you'll react will lessen the
turmoil when the storm hits and better help you stay on
schedule.
5. Early Starts. With any project on your to-do list,
there's no substitute for a fast start. Divide tasks into
workable pieces, and begin your work sooner than later
to conquer each bit by bit. When you're prepared and
prepped, you may be able to fit these into unexpected
downtime.
At the same time, consider what parts of your role
you can perform as a fast, almost automated routine,
so you don't spin your wheels. For example, you may
be able to knock out a week's worth of blog posts and
Facebook updates early on Monday morning before
you're inundated. Likewise, you can facilitate status
meetings so that everyone knows to deliver their updates
in a standard format, which streamlines the presentation
and avoids off-topic conversation. If side topics do arise,
table them for later conversations.
Speaking of meetings, start them on time and end them
on schedule, too. Consider blocking out a portion of your

day as a designated meeting segment. Sure, three straight
meetings are tiring, but it may beat interrupting your
workflow several times in the day, and it may compel
you to make those meetings more efficient and effective.
6. Feedback. You'll only know you're working more
efficiently if you keep track. Continue to log your time
with good notes, then make tweaks as you get more data
to compare budgeted time on task to actual time. Stay
aware of where you are and where you should be, and
evaluate continuously whether projects are productive
uses of your time, whenever you've found timesaving
hacks, or if you find common factors that throw you off
course.
Review this assessment at the end of each day to plan
your next day's to-do list, as well as weekly and monthly
to promote greater change. Figure out what you can
fix, and what you can't. Ultimately, you may need to
reassess your goals, especially if you're having problems
completing those things you've identified as priorities.
7. Goals. Obviously, your objective for your avionics
shop is to provide a superior customer experience in a
manner that is profitable for you and rewarding to your
employees. Looking forward, you probably also see ways
to consider new opportunities and new customers to stay
ahead of your competition. More immediately, you also
may have accomplishments you hope to achieve to stay
on top of your responsibilities.
Managing your time requires using feedback to find
time for those things you need to achieve and creating
workarounds to everything else. By writing each of these
down, and then reviewing regularly, you can stay focused
on what's most important to you while ignoring those
things that don't move you forward.
Ultimately, it's your call whether your goals truly
make you and your business more effective, and
achieving them may mean stepping aside and allowing
your people to work uninterrupted so you can focus
elsewhere. Stay flexible so that you're chasing the big
picture, not day-to-day distractions, and adapt goals so
they fit into your capabilities.
You'll accomplish all of this by creating a work
schedule that gives you time to focus on the critical parts
of your job, sharing these priorities with your team, and
staying flexible as situations change. By recognizing all
the parts of time management, you can root out those
distractions that lead you off target. While it won't
always be easy, it's one opportunity you don't want to
get away. q
